Well it depends if it is contractual or if you want to disseminate the overtime fair and equitable to all fulltime members?

Having someone sign up for overtime is asking for someone to say, hey I didn't get a chance at that shift.

We have a pretty good system.

Column 1 Column 2 Column 3 Column 4 Column 5

FF Young
FF Jones
FF Eaton
FF Bully
FF Frink

Start with a spreadsheet like excel, list all your overtime personnel in column 1 by seniority. When a shift becomes available, you call FF Young first. Offer the shift, if he takes it or denies it, his name is crossed out and written in column 2. If Young denies then you call FF Jones and do the same. Continue til you fill the shift. No contact with the person you are trying to reach then you skip the person and move to the next name below.

Put the book away and then when you need to fill the next shift, you start with column 1's first name at the top of the list and fill the shift the same way.

At the end of the year, in reality, your list will be within 3 columns of eachother and all OT disseminated in a fair and equitable manner.
Depends upon what you really are looking for, a software program, who can sign up for OT? Just how other dept do it?

For unscheduled OT, we do basically like FETC says. We start by seniority, most senior FF gets the first shot and then on down. As time goes on, those people that turned down OT will be offered it before someone that has some already.

But since you're asking for SCHEDULED OT, we do that by seniority as well. For Packer games the most senior personnel are awarded OT. Special events like our marathon, Independance Day, etc are the same way. We use TELESTAFF for our scheduling and it is a very nice program. If I want to work a Packer game I can go into my calander and click "Sign up Packer Game" and if I'm awarded the OT, it will show up on the calander.

Prior to TELESTAFF, we used a call in system and sign up. There was an email sent out notifying everyone of the OT opportunity and if you were interested you called the dept admin and your name was on the list. Although such a system is easy to claim that your name was tossed etc, so that is why TELESTAFF is nice, you have an electronic record.
Microsoft Outlook calendar appointments.
Thanks, we use Outlook now. I will look at Telestaff.
